Data Protection
Who we are
We are the Old Girls’ Association for St Mary’s School, Wantage (also incorporating SMETs – St Mary’s Ex Staff).
Types of data we collect
Mailing Lists
We hold four forms of data:
The St Mary’s ‘Blue Books’ which contain your first name, maiden name and date of birth. These are kept to help track down Old Girls when requested to do so.
The St Mary’s database (Excel) which was collated up until the school closed. This does not include everybody, but those people who consented at the time of leaving St Mary’s. It includes some or all of the following data: first name, maiden name, married name, year of leaving, postal address, email address, phone. It has been updated when people have sent us new information.
The ‘Overseas SMOGs’ database (Excel) which is a list of those SMOGs living overseas who are happy to be contacted by other SMOGs. It includes some or all of the following data: first name, maiden name, married name, year of leaving, email address, phone.
Our email database (Outlook and MailChimp) – this is used very rarely now (main form of communication is via Facebook) but is used to pass on information about the SMOGs, SMETs or Heathfield School. We use a third-party provider, MailChimp, to deliver our newsletter. We gather statistics around email opening and clicks using industry standard technologies to help us monitor and improve our e-newsletter. For more information, please see MailChimp’s privacy notice. You can unsubscribe to this mailing list at any time by clicking the unsubscribe link at the bottom of any of our emails or by emailing our data protection officer Victoria Humphries
Please be aware that if anyone requests information about a SMOG or SMET no data is ever passed on to the third party until we have contacted the SMOG/SMET in question and got their full consent. We never sell or pass on our data to third parties.
Access to your personal information
You are entitled to view, amend, or delete the personal information that we hold. Email your request to our data protection officer Victoria Humphries.
